The ATS-Friendly Resume Format for 2026: Layout, Sections and File Type
The resume format ATS systems read correctly: layout, section order, fonts and file type, with a copy-ready template structure.
The ATS-friendly resume format in 2026 is reverse-chronological, single-column, with standard headings and no graphics, saved as a text-based PDF or Word file. That combination is read correctly by virtually every applicant tracking system and is also the easiest format for a recruiter to skim.
Fancy design does not help you pass software, and it rarely helps with humans either. Here is exactly what to use and what to avoid.
Why format matters before content
Before an applicant tracking system can match your skills to a job, it has to parse your resume: turn the file into structured data such as name, contact details, job titles, dates, employers and skills. If the parser misreads your layout, your experience can end up in the wrong fields, or vanish.
A great resume in a broken format can score worse than an average resume in a clean one. So fix format first.

Formatting rules that keep parsers happy
| Do | Avoid |
|---|---|
| Single column | Two or three columns, sidebars |
| Plain text for contact details | Icons for phone/email/location |
| Standard bullet points (•, -) | Custom symbols, emojis, arrows |
| Common fonts: Arial, Calibri, Helvetica, Georgia, Garamond | Decorative or script fonts |
| Font size 10.5–12 pt for body text | Very small text to fit more in |
| Dates in one consistent format ("Mar 2023 – Present") | Mixed formats, years only for some roles |
| Text written in the document body | Text inside images, shapes or text boxes |
| Skills as words | Skill bars, stars, percentages, charts |
| Contact info at the top of the page | Contact info in the header/footer area |
| Simple bold for job titles | Tables used for layout |
PDF or Word?
Both are fine with most modern systems if the PDF is text-based. A quick test: open your PDF, press Ctrl+A (Cmd+A on Mac), copy and paste into a plain text editor. If the text appears in the right order, the file is readable. If it is scrambled, missing or impossible to select, the system will struggle too.
Use Word (.docx) when the posting asks for it. Avoid .pages, image files (.jpg, .png), and scanned PDFs.
Templates: what to look for
Many free templates online are built for looks, not parsing. Before using one, check:
- Is it a single column?
- Are contact details plain text?
- Are there any tables, text boxes or graphics?
- Does it pass the copy-paste test above?
Templates from design tools are the most common source of parsing problems. If you love a design, keep it for networking and in-person meetings, and use a clean version for online applications.
Writing the sections well
Summary
Three or four lines that a recruiter can read in five seconds. Include your target title, years of experience, two or three core skills and one achievement or specialty.
"Supply chain manager with 9 years in FMCG distribution across KSA and the UAE. Specialist in demand planning, SAP S/4HANA and 3PL management. Cut inventory holding costs 22% across 14 warehouses."
Skills
Group related skills so they are easy to scan: Planning: demand forecasting, S&OP, inventory optimisation · Systems: SAP S/4HANA, Oracle, Power BI · Languages: Arabic, English. Put the job's must-have skills first.
Experience bullets
Start with a strong verb, say what you did, and show the result. The pattern action + context + result works for every role:
- "Negotiated 3-year contracts with 6 logistics providers, reducing freight costs by SAR 3.1M a year."
- "Introduced a weekly S&OP meeting that improved forecast accuracy from 68% to 84%."
Keep 3–6 bullets for recent roles and 1–3 for older ones. Roles older than 10–15 years can be summarized in a single line.
Dates and gaps
Use month and year for every role. If you have a gap, do not hide it with years-only dates; recruiters notice. See our guide on explaining employment gaps.
Regional notes for the Gulf and wider Arab world
- Personal details: nationality and visa status are often useful in the Gulf. Photo and date of birth are optional.
- Language: English for most private-sector roles; keep a matching Arabic version. See Arabic or English CV?.
- Arabic CVs: keep the same single-column structure, use a standard Arabic font, and avoid mixing Arabic and English on the same line where possible.

Frequently asked questions
What is the best resume format for ATS?
A reverse-chronological, single-column format with standard section headings, a common font and no tables, text boxes, graphics or images. Save it as a text-based PDF or a Word document.
Is PDF or Word better for ATS?
Both work with most modern systems if the PDF is text-based, meaning you can select and copy the text. Use Word (.docx) if the job posting asks for it or if you are unsure whether the employer's system handles PDFs well.
Can ATS read two-column resumes?
Some can, many cannot do it reliably. Columns often cause sections to be read out of order or merged. A single-column layout is the safest choice.
Should I put my contact details in the header?
Put them in the main body at the top of the page, not inside the document's header or footer area. Some systems skip header and footer content.
How long should an ATS-friendly resume be?
One page for students and early-career candidates, two pages for most experienced professionals, and longer only for academic, medical or very senior roles where it is expected.
