How to Write a Cover Letter That Gets Read in 2026 (Structure + Examples)

Do cover letters still matter in 2026? A simple four-paragraph structure, full examples, and the mistakes that get letters skipped.

A cover letter that gets read in 2026 is short (200–350 words), specific to one company and one role, and built around one or two achievements that prove you can do the job. Recruiters skim. A letter that could be sent to any employer is skipped; a letter that shows you understand this role is remembered.

Do cover letters still matter?

Not every application needs one. But a good cover letter helps when:

  • The employer asks for one (then it is required, not optional).
  • You are changing careers and need to connect your past experience to a new field.
  • You have a gap, relocation or unusual background that your resume cannot explain.
  • The role is competitive and you want to show genuine interest.
  • You are applying directly to a hiring manager by email or LinkedIn.

When a cover letter is optional and you are short on time, prioritize tailoring your resume. But for roles you really want, a strong letter is worth 15 minutes.

The four-paragraph structure

1. Opening: the role and your strongest reason

Name the role and give your strongest, most relevant point in the first two sentences. Skip "I am writing to apply for…" if you can.

"Your Riyadh retail expansion needs a supply chain manager who has opened stores at speed without losing stock control. I did exactly that for 14 stores across KSA and the UAE in the last three years, and I would like to bring that experience to Al Noor Retail as your Supply Chain Manager."

2. Proof: one or two achievements that match the job

Pick the requirements that matter most in the job description and show evidence for them. Numbers help.

"At my current company, I rebuilt demand planning in SAP S/4HANA, raising forecast accuracy from 68% to 84% and cutting inventory holding costs by 22%. I also renegotiated contracts with six logistics providers, saving SAR 3.1M a year."

3. Fit: why this company

Show you know something specific: a recent project, a market, a product, a value, a challenge. One or two sentences is enough.

"Your plan to open 20 stores in secondary Saudi cities by 2027 is the kind of growth I enjoy most, and my experience setting up regional distribution in Qassim and Eastern Province is directly relevant."

4. Close: clear and confident

Thank them and suggest the next step. No begging, no clichés.

"I would welcome the chance to discuss how I could support your expansion plans. Thank you for your time and consideration."

What to include and what to leave out

IncludeLeave out
The exact job title"To whom it may concern" (use "Dear Hiring Manager")
One or two quantified achievementsYour full career history
Something specific about the companyGeneric praise ("a leading company")
A brief explanation of a gap or career change, if relevantSalary demands (unless asked)
Availability or relocation details, if relevantPersonal problems or negative comments about employers

Examples for different situations

Career change

"After six years as a secondary school maths teacher in Amman, I moved into data analysis through a year of training in SQL, Python and Power BI. In my final project I built a dashboard tracking attendance and grades for 900 students, now used by the school's leadership team. Explaining numbers clearly to non-specialists has been my job for six years, and it is exactly what your junior analyst role asks for."

Fresh graduate

"As a recent accounting graduate from Ain Shams University with a summer internship at a Big Four firm, I am applying for your Graduate Auditor programme. During my internship I tested revenue controls for two FMCG clients and found a reconciliation issue worth EGP 180,000 that the team included in its management letter."

Relocation to the Gulf

"I am a registered nurse with five years in ICU at a 600-bed hospital in Cairo, holding a DataFlow-verified licence and preparing for Prometric. I am available to relocate to Doha within 45 days and would be glad to join Hamad Medical Corporation's critical care team."

Common mistakes that get cover letters skipped

  1. Starting with your name and "I am writing to apply." Use the first line to say something useful.
  2. Repeating your resume line by line. Choose the two strongest points and connect them to the job.
  3. Being generic. If you can swap in another company's name without changing anything, rewrite it.
  4. Writing too much. More than one page is almost never read.
  5. Typos in the company or hiring manager's name. The fastest way to be discarded.
  6. Overusing AI without editing. Buzzword-heavy letters are easy to spot. See our guide on using ChatGPT for your resume.

A complete example

Here is a full letter using the four-paragraph structure, at about 220 words:

Dear Ms. Al-Harbi,

Your team's move to a single HR platform across 11 Saudi branches needs an HR systems lead who has done it before. I led exactly that migration to SAP SuccessFactors for a 2,400-employee retail group in Jeddah last year, and I would like to bring that experience to Al Noor Group as your HRIS Manager.

In that project I mapped 38 HR processes, trained 60 managers and moved payroll for all branches without a single missed salary. Afterwards, time spent on monthly HR reporting fell from four days to one. I also built Arabic and English self-service guides that cut HR helpdesk tickets by 35% in the first quarter.

Your recent announcement about expanding into the Eastern Province caught my attention. Rolling out consistent HR systems while opening new branches is the kind of challenge I enjoy, and I understand how Saudization reporting needs to be built into the system from day one.

I would welcome the chance to discuss how I could support your rollout. Thank you for your time and consideration.

Kind regards, Omar Al-Sayed

Notice what it does not include: no life story, no generic praise, no list of every skill. Every sentence connects the candidate to this employer's need.

Formatting tips

  • Use the same font and header as your resume, so they look like a set.
  • Save as PDF unless the employer asks otherwise.
  • If you paste it into an application form or email, remove formatting and keep paragraphs short.
  • Name the file clearly: FirstName_LastName_Cover_Letter_CompanyName.pdf.

Arabic cover letters

For Arabic postings or government roles, write the letter in formal Modern Standard Arabic and follow the same structure: role and strongest point, proof, why this employer, and a polite close. Keep technical terms in English if that is how the job ad writes them.

Frequently asked questions

Do cover letters still matter in 2026?

They matter when the employer asks for one, when you are changing careers, when you have a gap or unusual background, and when you are competing for a role you really want. A short, specific letter can tip the balance; a generic one adds nothing.

How long should a cover letter be?

Between 200 and 350 words, usually three or four short paragraphs. Recruiters skim, so shorter and more specific is better.

Should I address the cover letter to a specific person?

Yes, if you can find the hiring manager's name on the job posting or LinkedIn. If not, 'Dear Hiring Manager' or 'Dear [Team name] team' is perfectly acceptable.

Can I use AI to write my cover letter?

Yes, as long as you give it real details about the company and your experience and then edit the result. A letter that could be sent to any company will be treated as generic, whoever wrote it.

Should a cover letter repeat my resume?

No. It should connect two or three of your strongest points to what this employer needs, and explain anything your resume cannot, such as a career change or relocation.
